RefWorks at Kent State University: Add References

Steps for manually adding references in RefWorks

After you log in to your RefWorks site, you can continue with the following to manually enter for a single article, book, etc.

1. Select Add New from the References drop-down menu.

2. Select desired citation style from View fields used by: drop down menu. Fields required for that citation style will be indicated.

3. Select appropriate reference type from the Reference Type drop-down menu (e.g., Book-Whole, Journal Article, etc.).

4. Enter the information from your reference in the appropriate fields.

5. Select desired folder from the Select a folder drop-down menu.  This assumes you have created one or more "Folders" (that is, a place for putting references for one or more projects - see Folders tab above).

6. Click on Save Reference.

Books - steps for adding references for from KentLINK or OhioLINK

 These steps are assume you are connected to KentLINK or OhioLINK and are looking at a screen of results. The steps are for those who use Microsoft Windows computers or Macs, although some small differences are noted at points.

1. From the KentLINK Search Results list, click the Add to Folder button next to each of the records you want to export (send to RefWorks). In the OhioLINK Library catalog, click Save Item next to each of the records you want to export.

2. In KentLINK, click View Folder.  In the OhioLINK Library catalog, click the View Saved Records button.

3. In KentLINK, click Export Folder

4. In KentLINK (or OhioLINK) click Select ALL, or choose desired items.

5. Next, under Format of List, click Endnote/RefWorks.  

6. Then, under Send List To, click Local Disk, and click the Submit button.

7. On "Windows" computers, in the small window that opens, click Save File, and then OK. On Macs you might click OK. You may choose the location to save your file on your computer, or note where it will be saved.

8. You may see a "Download complete" or "Downloads" window, and you can click to close that window. The file will be saved on your computer (e.g., My Documents for Windows, or in Downloads for Macs).  

9. Next, move to your RefWorks window, or log into RefWorks if not already logged in.

10. On RefWorks, at the top left of the screen, click on References and choose Import.

11. Next, from the Import Filter/Data Source drop-down box, select Innovative Interfaces (Endnote/Refworks Format). Your screen may refresh.

12. From the Database drop-down box, select EndNote/RefWorks Format.

13. Next to Select Text file click Browse.

14. In the next window find the downloaded file (the export.txt file).

15. Double click on that file, or click on the file and then click the Open button.

16. Back at the RefWorks Import References page: Note the export.txt file display to the right of Select Text file.

17. If desired, and if you already created at least one RefWorks folder, you may choose a folder you created from the pull down menu next to Input into Folder. You may want to see steps for creating folders under the Folders tab on this guide.  

18. Click the Import button near the bottom of the page. You will see a "Processing" message at the the lower right hand corner of the screen. RefWorks will prompt with Import completed when it is finished.

19. Click the View Last Imported Folder button to view your references. The items will also be in the folder that you selected if you chose to import into a special folder during import.  Otherwise, items will be in the Last Imported folder. See the right side of the RefWorks screen for a list of your folders.

Note: when you look at a record for a book you can click on the Find It button to open a window to see that item's OhioLINK status, or call number, etc. (includes information for Kent State).

Steps to add references from Research Databases (also see Internet below)

Many databases provide for "directly" transferring information to RefWorks. For example you can directly transfer ("export") records from PubMed, or PsycINFO, or from an EBSCO databases such as SocINDEX, the MLA International Bibliography, CINAHL, Education Research Complete, or Academic Search Complete.

To put items into RefWorks, the general steps are these:

1. As you look at the references in your search results, you click on "add to folder", or click on boxes to "store", or "mark" the items you want to put into RefWorks.

2. When ready to move items to your RefWorks account, you click on Folder, or Stored Records, etc.

3. Next, you may click on a Direct Export option, or an picture/icon for exporting, or on Export RecordsIn EBSCO you may click to select Items (e.g. Select All), then click Export at the right of screen. 

4. Next, you may choose Direct Export to RefWorks.

5. Next, when or if prompted, you log in to ReWorks to have the records added to your RefWorks account. 

6. You can click the View Last Imported Folder button to see what you just imported.

Note: When you look at full record for an article in your RefWorks account you can click on the Find It button to possibly connect to an electronic copy of the article. 

References from the Internet, Google Scholar, etc.


There are a variety of methods for capturing information from the Internet (three of these are A., or B. or C. below).

A. Create a new record manually in RefWorks, and then copy and paste desired information into the appropriate RefWorks fields.

B. Using Google Scholar.  This resource can supplement your use of Research Databases, or it can be a start as you search for published work related to your research or papers.  The references you add to RefWorks from Google Scholar may not have all the information to work fully with Microsoft Word, but Google Scholar can be useful as a discovery tool.  There are 2 sets of steps: see a. and b. below.

a. How to set up the feature in Google Scholar

1. From the Google Scholar search page, click on the "Gear box" (Settings) on the right hand corner at the top of the screen

2. Scroll down to the Bibliography Manager section.

3. Click Show links to import citations into and then select RefWorks from the drop-down menu.

4. Click Save.

b. How to initiate a direct export to RefWorks

1. Conduct your search in Google Scholar.

2. Each record displayed will now have an Import into RefWorks link. Clicking on the link will launch the RefWorks login page.

3. Once you log in (or if already logged in) you should see an Import References window. Click on View Last Imported Folder to proceed.

 

C. RefWorks' RefGrab-It  

RefGrab-It has been an optional feature for capturing bibliographic information from web pages. It is available in two versions.  Information on these options is on RefWorks, under Tools
